Operations Associate, Cincinnati

The Operations Associate will be responsible for the reconciliation of private client accounts on the firm’s portfolio accounting system using custodial data as the primary reference point. The associate will ensure daily transaction and position files for multiple custodians are received and processed in a timely manner. Associate will communicate reconciliation delays to affected members of the firm and will work with necessary vendors to resolve processing issues. Also, the associate will monitor the reconciliation dashboard regularly and will serve as the primary contact for our data aggregation vendor. Responsibilities for all Operations associates include the continuous development, maintenance, implementation, and testing of policies and procedures related to this task.

DUTIES AND RESPONSIBILITIES:
  • Download transaction and position files from multiple sources for custodial reconciliation
  • Daily custodial reconciliation of private client accounts according to priority levels
  • Collaborate with Ops, Trust and PM personnel in addition to custodial representatives so exceptions can be resolved in a timely manner
  • Communicate to both Portfolio Management and Trust departments when there are reconciliation delays 
  • Review on a consistent basis information found on the reconciliation dashboard in order to minimize account exceptions and improve data integrity
  • Maintain existing relationship with data aggregation provider; work includes reporting and resolving technical issues, software upgrades and conversions, and daily activity reviews
  • Facilitate statement scanning process monthly
  • Be the primary Operations contact  during the quarterly advisory statement period, maintaining a central record of accounts ineligible for production, ensuring exceptions are resolved and statements published when acceptable criteria are met
  • Project work related to long term goals and objectives of the department
  • All other duties and responsibilities assigned by the manager

MINIMUM QUALIFICATIONS:

  • Bachelor’s Degree (finance or a related field preferred)
  • Highly organized with the ability to manage multiple projects and deadlines
  • Extremely high level of attention to detail and accuracy
  • Strong communication skills, both written and oral
  • Business working knowledge of Excel and Word
  • Superior attention to client service
  • Willing to accept new responsibilities
  • Motivated, self-starter, independent thinker
  • Works effectively with others in a professional manner
  • Strong problem solving skills
  • Ability to work in a fast paced environment
